Privacy Policy

Pyles Automation provides an AI phone coordinator for home service businesses. This Privacy Policy explains how we handle information through our website, demo bookings, calls, onboarding, and services. For privacy questions or requests, contact support@pylesautomation.com.

Information we collect

When you contact us, book a demo, or complete onboarding, we may collect your name, business name, role, email address, phone number, business details, scheduling preferences, and other information you provide. If you book a demo through Calendly, we receive the booking details you submit.

When someone calls a number answered by our coordinator, the service processes the caller’s phone number, information shared during the conversation, appointment details, resulting messages, and call metadata. Audio recording is disabled for our agents, so we do not retain an audio recording of these calls. Retell AI creates and stores call transcripts and summaries. Access to our Retell account is limited to the owner of Pyles Automation. The business receiving the call may receive information needed to handle the caller’s request.

Our website and service providers may receive technical information, such as IP address and browser or device information, needed to operate their services. We do not currently use website analytics or advertising pixels. Our embedded Calendly booking interface may use cookies and displays Calendly’s cookie controls. Calendly may collect information under its own Privacy Notice.

Google Calendar

A business can authorize Pyles Automation to connect to its Google Calendar. Our app requests calendar.freebusy to check availability and calendar.events to view and manage events. The event permission allows the app to create, change, and delete calendar events. We use these permissions to identify available appointment times and manage bookings under the business’s instructions.

We store the authorization token needed to maintain the connection. When a business disconnects its calendar, our system deletes its stored token. Disconnecting through our system does not itself revoke the app’s authorization in the business’s Google Account or automatically delete appointments already created. The business can separately manage third-party access in its Google Account.

We do not sell Google user data or use it for advertising. We use or share information received from Google APIs only as needed to provide the authorized calendar features, maintain security, or comply with law. Our use and transfer of that information adheres to the Google API Services User Data Policy, including its Limited Use requirements.

How we use and share information

We use information to respond to inquiries, arrange demos, configure and support the coordinator, handle calls and appointment requests, send configured texts and business alerts, troubleshoot issues, protect the service, and meet legal obligations.

Providers that help us deliver these functions may process relevant information. Depending on the feature, they include Retell AI, Twilio, Supabase, Render, Framer, Calendly, and Google. We also share relevant caller, message, and appointment information with the business whose calls we handle and its designated contacts. We may disclose information when required by law or necessary to protect the service.

Calls and text messages

Our AI coordinator processes speech during a call. Although audio recording is disabled, Retell AI stores transcripts and summaries. If a caller agrees to receive an appointment confirmation by text, the service may send it to the number provided. Designated business contacts may receive configured booking and review alerts.

Message and data rates may apply. Replying STOP prevents further SMS from the sending number. An automated HELP reply is not currently available; for assistance, email support@pylesautomation.com.

Retention and security

We retain information for as long as reasonably needed to operate and support the service, maintain business records, address requests or disputes, and meet legal obligations. We have not established a fixed automatic deletion schedule for call transcripts, SMS records, or demo inquiries. You may request deletion at support@pylesautomation.com, subject to information we need to retain for business or legal reasons. Our system deletes its stored Google authorization token when a business disconnects its calendar.

We use measures intended to protect information, but no system can guarantee complete security.

Your choices and requests

Email support@pylesautomation.com to ask about, access, correct, or request deletion of information we hold about you. If you called one of our business customers, that business may be responsible for deciding how to handle your request; we can assist where appropriate. You can manage Calendly cookies through its booking interface and manage connected apps through your Google Account.

We do not currently track visitors’ activity over time across other websites for advertising, so we do not offer a separate response to browser “Do Not Track” signals for that activity. Embedded third-party services may collect information according to their own privacy practices.

Children, changes, and contact

Our website and service are intended for business use and are not directed to children under 13. We may update this policy by posting a revised version with a new effective date and provide additional notice of material changes when appropriate.
